Seeking a Team Secretary and Project Coordinator – North Cambridge

A fantastic opportunity has become available to join a rapidly growing establishment as a Team Secretary and Project Coordinator. Due to continued growth, this is a new role and a position to allow a highly professional and dedicated Secretary to support the Directors and business with their needs.

Start: ASAP
Location: North Cambridge, Cambridgeshire
Hours: 40 hours per week – to be flexible with working hours
Salary: £Competitive

The ideal candidate will have experience of working in a professional environment as a Secretary and supporting to Director level. You must allow flexibility of working hours as sometimes it will require to support a meeting later than opening hours. Due to the nature of the business, it would be highly advantageous to have a love of animals.


  • Day to day support for all 7 Senior Directors
  • Diary Management for Two Senior Directors
  • Organising travel and accommodation for the Directors and occasional travel management for the team
  • Managing the meeting rooms and setting up accordingly
  • Arranging catering services for the meetings
  • Research and gather information prior to meetings
  • Taking minutes during in meetings when required
  • Being aware of all staff whereabouts
  • Dealing with expenses submissions for company Directors
  • Relationship management, ensuring all company clients are provided with an excellent service
  • To coordinator all projects and ensure they are met to the timelines
  • Attend assigned project meetings to take minutes when required
  • Obtaining and documenting actions from each meeting
  • Taking control of logistics to schedule follow up meetings
  • Coordinating with the project team members to collate and circulate updates ahead of meetings
  • Working closely with project team leaders to support the progress of the projects
  • Carrying out administrative duties to support the projects team
  • Directly liaising with clients when required about the projects
  • Offering support across the business to ensure a smooth operation

Your background, Skills and Attributes: 

  • MUST have at least 3 years’ experience working as a Secretary
  • MUST have an interest and love for animals
  • Working to Director level
  • Experience of managing multiple diaries
  • Exceptional organisational skills
  • IT literate – Advanced Excel skills, Word, Outlook and CRM systems
  • Experience of taking minutes and creating reports
  • Ability to adapt to changing environments
  • Forward thinking and proactive
  • High professional and approachable
  • Well presented and friendly
  • Exceptional grammar and spelling
  • Excellent time management skills
  • Team player
